Exactly what each EbikeMate status means, who gives it, what was checked — and what it does not prove. Plus how we look after your data.
What each status means
EbikeMate is an independent register, not a government service. Statuses describe what has been recorded and checked on EbikeMate — nothing more. We never use “Ownership verified” unless one of the checked processes below has happened.

Who gives it
Automatically, when an owner creates a Bike Passport.
What’s checked
A working email address (a one-time code was entered).
What it shows
Someone with a real email address has recorded this make and model.
What it doesn’t prove
That they own the bike. Anyone can register a bike they describe.

Who gives it
Automatically, when the frame serial is added.
What’s checked
The serial’s format, and that no other live record has it. A second claim on the same serial is never accepted — it becomes a dispute our team reviews.
What it shows
The record can be matched to a frame by police, shops and buyers.
What it doesn’t prove
That the serial is genuine or matches the bike（front of you. Always compare it with the frame.）

Who gives it
Automatically, when the owner uploads an invoice, receipt or warranty.
What’s checked
Only that a document was uploaded. We review it if ownership is disputed.
What it shows
The owner has a purchase document for the bike.
What it doesn’t prove
That the document is authentic, or that the owner still has the bike.

Who gives it
EbikeMate, after one of two checked processes: 零售商已验证 — an ABN-verified shop registered the bike at sale and the buyer claimed it from the email the shop entered; or 转让已验证 — the previous owner transferred it through EbikeMate and the new owner accepted. Two independent sources show as 高可信度所有权.
What’s checked
The shop’s identity and ABN (checked by us), the shop’s sale record, and both people confirming from their own verified email accounts.
What it shows
Who the bike passed to, and when, through a process EbikeMate ran.
What it doesn’t prove
That the bike is still with them today, its condition, or the price paid.
转让待确认
Who gives it
Automatically, when the owner starts a transfer to a buyer (shown to the seller and buyer).
What’s checked
The seller is the current owner; the invitation only works for the buyer’s email, for 14 days.
What it shows
The seller has started handing the record over.
What it doesn’t prove
That the buyer owns it yet — nothing changes until they accept.
报告于 stolen (or lost)
Who gives it
The current owner, or a verified police partner. Timestamped the moment it’s reported.
What’s checked
That the report came from the record’s owner. A police reference can be added but we don’t check it with police.
What it shows
The owner says the bike is missing. Listings with this serial are stopped and checked by a person.
What it doesn’t prove
That police have confirmed a theft. Never confront anyone — call police on 131 444, or 000（an emergency.）
Recovered
Who gives it
The owner, or a verified police partner, marks the bike as back.
What’s checked
That it came from the owner or a verified police partner.
What it shows
The theft report is closed; the history keeps both dates.
What it doesn’t prove
Anything about the bike’s condition after recovery.
Your data
Who can see what
所有人 checking a serial or EbikeMate ID sees the make, model, colour, a masked serial, the statuses above and theft status. Never your name, email, phone or address.
Finders who scan a bike label can send you a message through EbikeMate. They never see your details; you choose whether to reply.
Insurers, councils and dealers we’ve verified see the same bike facts, never your contact details.
Verified police can see your name and contact details to return a recovered bike or investigate a theft. Every lookup records the officer, the reason and their reference.
Shops that register a bike at sale see only that bike until you claim it — after that, nothing private.
EbikeMate staff open private records only to handle a dispute, a report or your request, and every such access is logged.
How we protect it
Every page and file travels encrypted over HTTPS.
No passwords to steal: you sign（with a one-time code that works once, for 10 minutes. We store only a fingerprint (hash) of codes and sign-in sessions, not the codes themselves.）
Photo locations are removed. Phones hide GPS coordinates inside photos; we strip them before a photo is stored.
Receipts, documents and private notes are visible only to you (and,（a dispute, our team — logged).）
A Bike Passport’s history is append-only: past events can’t be edited or deleted, by you or by us.
Where it’s stored
The website, database and uploaded files run on Railway’s cloud platform（its） Southeast Asia (Singapore) region, on persistent storage. EbikeMate is operated from Brisbane by Oakmond Group Pty Ltd. We don’t sell personal information, and we don’t use advertising trackers.
Backup and recovery
Your records live（a managed database on persistent storage, and the record history is append-only. The database has continuous point-in-time recovery, so it can be restored to any recent moment, plus daily backups (kept 6 days) and weekly backups (kept 27 days). Photos and documents are backed up daily and weekly too. Backups are kept by our hosting provider, separately from the live database, in the same Singapore region.）
Download or delete your data
Signed in, go to Account → Profile → Your data. Download my data gives you everything we hold, as a file. Business accounts are closed by our team, so customer registrations are handed over properly.
What happens when you delete your account
Deleted straight away
Your name, email, phone and address — the account is renamed “Deleted account” and can’t be signed（to）
Your bike and serial photos, receipts and other documents (the files themselves)
Private notes, theft details, saved searches, alerts and sessions
Your marketplace listings (withdrawn)
Kept, without anything that identifies you
A Bike Passport’s history is append-only, so each of your bikes is marked “removed” rather than erased. The register keeps that the bike existed, its make, model and serial, and the dated events — never your name or contact details. This stops a deleted record being used to hide a theft or re-register a bike as new.
Removed bikes no longer appear（public checks.）
Messages you sent to other people stay（their inbox, shown as from “Deleted account”.）
Payment records we must keep for tax law (for business accounts).
Backups: copies age out within about four weeks, as backups are replaced.
If a bike is reported stolen or lost, mark it recovered first (or contact us): we don’t let a theft report disappear with an account.
One record per frame. If someone registers a serial that’s already on the register, we never overwrite or hand over the record. Their claim becomes a dispute, the record shows “under review”, and transfers pause.
Evidence decides. Our team asks both people for evidence — a receipt, a photo of the serial on the frame, a shop’s sale record or a police reference — and records the outcome（the history.）
Placeholder and fake serials are refused (things like “TBC”, “NONE” or “123456”).
Suspected fraud. Records we believe are false are marked under review and can be removed, accounts can be suspended, and where a crime may be involved we tell police.
Stolen bikes for sale. A listing whose serial matches a stolen report is stopped and checked by a person before anything else happens.
Found a security problem? Email ebikemate@gmail.com with “Security report”（the subject. Please give us a chance to fix it before telling anyone else, and don’t access other people’s data while testing. Our） security.txt has the details.
How EbikeMate makes money
Registering and checking bikes is free for owners, always. We earn from businesses and optional extras — never from selling personal information:
Shops: a free plan, and a paid Pro plan for unlimited listings and stock sync (prices).
Private sellers: listing is free; an optional paid Featured spot.
Insurers, fleets, councils and dealers: paid bike checks through our partner portal. Police are never charged.
